POSITION SUMMARY:

Responsible for the purchase and procurement of all items necessary for the efficient and economical operation of Neshaminy Manor.

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:

  • Responsible for written and verbal correspondence with outside vendors concerning purchase requests and supplies.

  • Responsible for written and verbal correspondence with the county purchasing department.

  • Responsible for preparing county resolutions and resolution summaries for the county agenda.

  • Able to write contract language, specifications and county terms and conditions for bids and quotes.

  • Interprets all research on bid and quote items including gathering and reporting pricing and specification data in standard county format.

  • Maintains all purchasing related and bid spreadsheets regarding contract start and end dates.

  • Responsible for preparing of all purchase requests and tracking of purchase orders for facility needs.

  • Works with departments and enforces the maintenance of adequate par levels insuring that the Manor always has supplies on hand to meet the needs of the residents.

  • Weekly – administers petty cash and credit card purchases and prepares reimbursement statements.

  • Weekly – prepares cash disbursement and reconciliation of cash from Residents’ Fund.

  • Functions as the backup for payroll preparation.

  • Prepare and process all Requests for Proposals (RFPs) including professional services such as Food Services, Pharmacy, Therapy Services, Cable TV, Wound Care, etc.

  • Administration of the Payroll Based Journal (PBJ) quarterly reporting to the State. The requirements from the State are constantly changing and it is essential to be in compliance as it affects our Five Star Rating of our facility.

  • Process purchasing requests from General Service departments such as Housekeeping, Maintenance and Laundry for expediency of deliveries.

  • Responsible for all tracking of expenditure accruals for the Monthly Budget Analysis for both Neshaminy Manor and its General Services Departments.

  • Responsible for posting & processing payments for the Medicare Coordinator. Cross training as a backup for Medicare billing. Currently we have only one Coordinator to process all Medicare and Insurance claims.

  • Responsible as the primary payroll coordinator of the Administration payroll including integrity testing of Kronos payroll changes & effective monitoring of newly added payroll codes.

  • Performs related work as required in the business office.

QUALIFICATIONS REQUIRED:

  • High school graduate or equivalent.

  • Lawson software purchasing experience preferred.

  • Minimum of 5-10 years’ purchasing experience.

  • Excellent computer Word and Excel spreadsheet knowledge required.

  • Knowledge of nursing home products.
